How to Transcribe Audio and Video with AI: Turn Recordings into Useful Notes

A twenty-minute recording may contain an address, a document checklist and a date you need to remember. Replaying the entire file whenever you need one detail is inconvenient. AI transcription turns audio into searchable text so you can find an instruction and organize your next steps. It can also help you prepare class notes or draft captions for a video.

Transcription, summaries and translation serve different purposes

A transcript attempts to represent the words you hear. A summary selects ideas and may leave out details. A translation changes the language. Starting with a summary can lose a condition such as “only after receiving confirmation”. Save a corrected transcript before creating shorter versions.

Captions also need segments and timing. TXT is suitable for reading; SRT or VTT files include timestamps when the tool supports exporting them. Check whether your plan includes the format your editor needs.

Otter and Descript list English and Spanish transcription on their official pages. Test your own accent and recording anyway: background noise, overlapping speakers and language switches can affect the result. Available minutes and available file imports are different limits.

Step 1: prepare the file and keep the original

Use a recording you own or have permission to process and share with your chosen service. If other people participate, confirm permission and applicable recording rules before recording or uploading. Permission to listen does not necessarily mean permission to publish.

  1. Keep an original copy with a recognizable name such as “interview-october-6”.
  2. Play it back to check that the file is complete and speech is understandable.
  3. Check supported formats and file-size limits. A phone recording in M4A may work in one service and require conversion in another.
  4. Try one or two minutes of nonsensitive material first rather than using your allowance on an unclear file.

For future recordings, place the microphone closer, reduce background music and encourage one person to speak at a time. Increasing volume cannot recover words that were never clear.

Step 2: import and choose the language

Open the official website, sign in and find the option to import or upload audio or video. Labels vary between versions. Choose transcription, select a language if that option is available and wait for processing to finish. Avoid choosing translation when you want to preserve the original wording.

For a local Whisper installation, follow its official repository instructions and keep files on your computer. An app saying it uses Whisper does not establish that processing stays local; check whether it sends audio to a server.

Step 3: correct details that can change the meaning

Listen while reading the text. Pay particular attention to names, addresses, email addresses, amounts, dates and negative statements. “Not approved” and “approved” lead to very different decisions. Automatic punctuation can also turn a question into a statement.

An automatic transcript is a draft. Do not present it as a certified record or attribute a quotation without checking the audio.

Step 4: turn the corrected text into next steps

Suppose the speaker says: “Bring identification and the receipt. You can come Thursday after ten; confirm before leaving”. Useful notes retain both documents, the time window and the confirmation condition. Writing “appointment Thursday at ten” introduces a precision the speaker never supplied.

Organize this corrected transcript into four sections: confirmed information, documents mentioned, pending tasks and unresolved questions. Include a short quotation or timestamp supporting each task. Do not invent names, dates or requirements. Mark unclear information as “to confirm”.

You can use this instruction with an AI assistant after removing private information. Check every task against the transcript. If two possible time slots were discussed, retain both; a summary should not make the choice for you.

If you need video captions

Split long sentences into readable segments and check timing while watching the video. Captions should stay visible long enough to read and follow the speaker. Review spelling and names, then export a format your editor accepts. Watch the final version on a phone before publishing: correct text can still be hidden by platform controls.

Choose a plan without overspending

Count both the number of files and their duration. Several short recordings can exhaust an import limit before the minute allowance. For video editing, consider captions and export options as well as transcription. Local processing may avoid a service subscription, but installation and computing capacity still take resources.

Also check storage, deletion controls and sharing permissions. Avoid accidentally making a private recording public when sharing notes. Review data-handling terms before uploading sensitive material.

Frequently asked questions

Can I transcribe a phone voice note?

Yes, if you can save the file and the service accepts its format. First confirm permission to share its contents and test a short sample.

What about a conversation mixing English and Spanish?

Errors are possible. Performance depends on the model and recording. Manually review language switches and names; selecting one language does not guarantee an accurate result.

Can I delete the audio afterward?

Keep a secure copy while you need to verify what was said. Deleting your own copy does not automatically delete the service's copy; check its storage controls.
