How to Use AI to Understand Documents and Forms Without Costly Mistakes
A government letter, lease or application can be difficult because of its vocabulary, length and instructions. Artificial intelligence can help organize the information, but it does not replace the original document, the issuing agency or professional advice.
The best approach is not to ask AI to decide for you. Use it to outline a document, translate complex wording into plain language, turn requirements into a checklist and prepare questions. Then compare every result with the document and the official source.
Before uploading a document
Look for information you would not post publicly: Social Security number, full birth date, driver's license, passport, accounts, cards, signature, medical records, case number or children's data. If a detail is not needed for your question, remove or cover it. For sensitive material, use a redacted excerpt. Review the service's privacy policy and data controls.
A five-step method
1. Identify the document
Write down who issued it, its date, the form number or title and its purpose. Scan for words such as deadline, due date, response required and appeal.
2. Ask for a map, not a conclusion
Page references make the answer easier to check. If the tool cannot read a table, checked box or scanned text, it should say so.
3. Turn requirements into a checklist
Request columns for requirement, where it appears, have it, missing and deadline. Do not mark anything complete until you verify it.
4. Review line by line
Confirm names, numbers, amounts, dates, addresses, boxes, signatures and attachments. A fluent answer can be wrong: confident wording is not evidence.
5. Confirm with the right source
For a government form, use the current edition and instructions from the official website. USCIS advises downloading forms from its site and completing every applicable section. For taxes, benefits, housing, immigration, health or legal matters, confirm with the agency or a qualified professional.

Work in three passes: a five-point summary with page references; an action list with records, deadline, channel and proof; then questions for the office.
Common mistakes
- Uploading the original with all personal data.
- Asking AI to fill ambiguous boxes.
- Ignoring back pages, tables or attachments.
- Using an old edition.
- Trusting calculations without repeating them.
- Sending without confirming what you declare and authorize.
